Oral Presentation Guidelines

Oral presentations should be always accompanied by PowerPoint presentations. Speakers are entirely responsible for the presentation content (order, graphics etc.). All presentations have to be delivered in English.

Please prepare your presentation using an up-to-date version of Microsoft PowerPoint, but older versions are also supported. The screens’ aspect ratio will be 16:9. Please note that Apple Keynote and Prezi presentations are not supported.

Supported Files

PPTX/PDF (200 MB maximum)

When saving your final presentation to a USB stick, make sure that you include your video or multimedia files (if any). Kindly note that the presentation computers will not have internet access, so any external content should be embedded directly in the presentation.

You can download the presentation template with the conference theme graphic design. The template is available in PowerPoint format.

File Upload

There are two ways to upload your presentation:

1. Online in Advance

  • You are encouraged to upload your presentation online before arriving at the venue.
  • The title of your presentation should follow this template: Date_Session_Surname (for example: 29 September_Session IV_Smith)
  • Click HERE to upload the final version of your presentation by 25 September 2025. The Secretariat will ensure your presentation is available in the lecture computer, eliminating the need for on-site upload. Please note that we cannot guarantee the upload of presentations submitted after 25 September, so those files must be uploaded on-site with a USB stick.

    2. On-Site at the Venue

    • If you have not uploaded your presentation in advance, please hand over your file to the A/V personnel in the lecture room on a USB flash drive as soon as possible upon arrival, but no later than 20 minutes before the start of your session.
    • The A/V personnel will upload your presentation and you will be able to verify that it is operating correctly.
    • Please note that if you are late, we cannot guarantee the timely upload of your file.
    • File upload is possible only during breaks and it is not permitted to upload files while a session is in progress.
    • Presenting from your personal laptop is not permitted in the lecture room.

    In the Lecture Room

    Speakers are requested to be present in the lecture room at least 10 minutes before the session starts to meet with the session chairs. Please be ready when it is your turn to ensure the session runs smoothly. It is advisable to remain in the lecture room prior to your presentation time in case of any last-minute schedule adjustments (e.g. a cancelled presentation before your talk).
